Reserve A&S Common Space, Teaching Labs & Specialized Spaces

Overview

This policy covers how to reserve Trinity College of Arts & Sciences (TCA&S) common spaces such as lobbies, teaching labs, or specialized spaces such as interactive computer classrooms and The LINK. These spaces may be reserved, upon approval, when not in use for academic classes.

Policy

Trinity College of Arts & Sciences Office of Facilities manages the use of common spaces, teaching labs, and certain specialized spaces.

Note: Designated Study halls cannot be reserved. These are set up for all students and are available for use between 9:00 am and 3:30 pm daily during the fall and spring semester. They are accessible by swiping a valid Duke ID badge. See listing of designated study halls below. Non study hall spaces can be requested for study room use for up to two hours at a time through 25Live.

Reserve Common Space

A&S Common Spaces include the following:

  • Bioscience lobby
  • Social sciences lobby
  • Chemistry building lobby
  • West Duke foyer or gallery area
  • Friedl building gallery area
  • LSRC Hall of Science
  • French Sciences atrium
  • Physics building lobby

  2. Reserve common spaces, such as building lobbies, through TCA&S Facilities by emailing Trinity College Scheduler at robin.harris@duke.edu or call 919-660-3037.

Reserve Teaching Labs Assigned to Departments

  1. Review the Terms of Use, Disclaimers & Liability and Criteria for Fees in the Use & Rental Policy for Arts & Sciences Facility Space for Non-Credit Activities.
  2. Request use of a department/program classroom or teaching lab through 25Live. The department scheduler will review the reservation and post the reservation decision on 25Live.
  3. Department Lab Managers may require additional information, or have their own set of guidelines and applications prior to approving the use of the lab.   
  4. The Department Lab Manager will email Cathy.Carter@duke.edu or robin.harris@duke.edu to approve the use; the TCA&S Scheduling Office.
  5. TCA&S Scheduling office will work with you on the second step of the process that may include the following:

Reserve Specialized Facilities

Interactive Computer Classrooms (ICC)

Interactive Computer Classrooms (ICC's) are located in Old Chemistry 201 and Smith 228. ICC classrooms are available during the fall and spring semesters (except for cleaning periods 3:30 am 8:00 am M-F. Questions related to ICCs should be directed to tts-av@duke.edu, or call 660-3088. ICC spaces cannot be reserved by student groups or used as study halls for student groups.

The LINK

The LINK (https://link.duke.edu) is an expansive and flexible campus facility offering innovative spatial and technological approaches to teaching and learning. The Link is open for use when the library is open and is located in the lower level of Perkins Library. It offers an array of technology rich classrooms and seminar rooms as well as group study and collaborative spaces. The Service Desk is staffed during regular business hours (see "Walk-In at the Link").

  2. Same day, walk-in reservations must be made at the Service Desk (see Walk-In-at the LINK).
  3. Reserve The LINK spaces (not same day) through 25LIVE process. Contact TCA&S Facilities by emailing Trinity College Scheduler at robin.harris@duke.edu or call 919-660-3037

Baldwin Auditorium

Use of Baldwin Auditorium is managed by the Duke Music Department through 25LIVE.

  1. Review the Terms of Use, Disclaimers & Liability and Criteria for Fees in the Use & Rental Policy for A&S Facility Space for Non-Credit Activities.
  2. Submit Baldwin reservations for academic related use through the 25LIVE process that is reviewed by the Duke Music Department for approval; Rick Nelson at (rick.nelson@duke.edu).

Theater Venues

Theater venues are scheduled by the Duke University Box Office. Scheduling priority is given to University departments and programming, and student organizations. Student organization or student groups are schedule through an application process each March through DukeGroups.

Study Halls and Study Rooms

Official Study Halls cannot be reserved. They are available to any students with a valid Duke ID badge between 9:00 a.m. and 3:30 p.m. See the locations of designated Study Halls below.
Other rooms can be reserved as study rooms for two to three sessions, for up to two hours at a time.
