TTS Warranty and Insurance Programs

Trinity Technology Services (TTS) is offering two self-insurance programs available to anyone in Trinity College of Arts & Sciences. Funds from the purchase of these programs will be retained in TTS, and all repair or replacement costs (minus any deductible) will be paid by TTS.

TTS Apple Warranty Plan

This program provides coverage for Apple laptops and desktops for the types of repairs and/or services covered by the AppleCare warranty (as this is no longer a standard option in the Duke Computer Purchasing Program).  Coverage starts at the end of the standard Apple 1-year warranty period, and extends to the expected life cycle of the machine (currently 4 years for laptops and 4 1/2 years for desktops).

Enrollment

  • All CPPAS Apple computers will have this coverage.
  • Coverage for non-CPPAS computers can be purchased from TTS at the time of computer purchase.

Cost

The cost of warranty is based on the purchase price of the machine:

  • Computer purchase price $0 - $1,899:  $50 
  • Computer purchase price $1,900 - $3,000:  $75
  • Computer purchase price >$3,000:  $100

Obtaining service

All repair issues should be referred to TTS technology support staff. During the first year of use, the standard Apple warranty applies, so the computer will be taken or sent to an authorized repair facility (e.g., Duke Computer Repair). Repairs outside of the Apple warranty period will be covered by TTS, and may be performed in-house or by a repair facility.

When expensive repairs are needed, TTS staff will determine whether to repair or replace the machine based on consideration of the repair estimate and the residual value of the machine.

TTS Laptop/Tablet Accidental Damage Insurance

This program provides coverage for laptops and tablets for direct physical damage to the system or one of its components (e.g., motherboard, battery pack, screen). The insurance program also covers theft of the device when the theft occurs away from campus (devices stolen while on campus are subject to coverage provided by Duke’s Office of Risk Management).

Examples of covered damage

  • The unit is accidentally dropped while carrying it from your car to your home. The resulting damage to the system would be covered by insurance.
  • The unit is damaged by spilling liquid onto it.

Examples of covered theft

  • The unit is stolen from the faculty/staff member's secured residence.
  • The unit is stolen from the faculty/staff member's secured personal vehicle.

Enrollment

CPPAS Devices

  • All CPPAS devices will have this coverage.
  • For CPPAS funded devices, the limit of insurance is the original amount paid for the devices OR the current allocated cost per equivalent unit for a CPPAS-funded device, whichever is greater.
  • Coverage extends to the expected refresh cycle of the device (currently 4 years).
  • TTS staff will determine whether replacement is warranted vs repair of the unit, based on consideration of the repair estimate and the residual value of the device.  
  • Repaired devices will continue to be covered.
  • Replacement of the device establishes a new refresh cycle and insurance coverage (the user is responsible for insurance costs above what CPPAS will fund).

Non-CPPAS Devices

  • Coverage for non-CPPAS devices can be purchased from TTS at the time of purchase.
  • For non-CPPAS funded devices, the limit of insurance is the original amount paid for the device.
  • Coverage extends to the expected refresh cycle of the device (currently 4 years).
  • TTS staff will determine whether replacement is warranted vs repair of the unit, based on consideration of the repair estimate and the residual value of the device.  
  • Repaired devices will continue to be covered.
  • Replacement of the device establishes a new refresh cycle and insurance coverage expires; therefore replacement devices will not be covered unless new insurance is purchased.

Cost

The cost of insurance is based on the purchase price of the unit:

  • Unit purchase price $0 - $1,899:  $50 
  • Unit purchase price $1,900 - $3,000:  $75
  • Unit purchase price >$3,000:  $100

Reporting a Damage Claim

Report the incident to TTS technology support staff, providing the following information:

  • Date and location of incident
  • Description of incident
  • Employees involved
  • Description of damage

Damage Claim Settlement

A $150 deductible applies for each claim; all additional costs for repairs or replacement will be covered by TTS. The affected department is responsible for the deductible*.

Reporting a Theft Claim

Trinity College of Arts & Sciences Office of Technology Services (TTS) requires that faculty and staff who use Duke-owned devices for business purposes use the following procedures if the device is stolen:

  1. Report the incident to the Duke Police (684-2444) or to the appropriate law enforcement authority
  2. Please provide the following information to the department business manager and TTS:
  • Date and location of incident
  • Description of incident
  • Description of damage/loss
  • A copy of the police report

Theft Claim Settlement

A $150 deductible applies for each claim; all additional costs for replacement will be covered by TTS. The affected department is responsible for the deductible*. 

*RESTRICTIONS OF DEPARTMENTAL FUNDING: Deductibles and/or replacement funding for damaged or stolen devices cannot be paid from departmental IT budget funds, since these are allocated to support specifically identified IT needs.
